Dear Club Secretary

To All Club Secretaries, Clubs affiliated to CTT North East District

This message is to give you all advance notification of the date of the Annual General Meeting. The meeting will be held at West Moor Community, West Moor on Wednesday 6th October 2021. The Main Hall will be the meeting room which should have sufficient capacity and space to enable us to maintain good social distance between attendees. The meeting will commence at 19:45 pm and is expected to last until 21:00-21:30. It will consist of the Annual General Meeting and the 2022 Date Fixing Meeting (for North East Events in 2022).

A couple of housekeeping points to be aware of, please:-
- as the meeting room (Main Hall) is in use until 19:30 pm by the previous occupants, please don't turn up and wait outside of the meeting room - I would ask that if you arrive early to either wait in your car or to wait outside (weather permitting) - until 5 minutes before the start of the meeting when the room should be ready for use
- each club can send along two delegates to represent their club and vote on behalf of their club at the meeting - please ensure that this number is not exceeded per club

If any clubs have any motions that they wish to put forward for consideration at the NE AGM (potentially for consideration at National AGM), can I ask that these are submitted to myself as District Secretary for NE by no later than Friday 3rd September 2021. This will enable any submittion motions to be considered at the NE District Committee Meeting prior to the AGM. This could include any suggested changes or updates to the rules and regulations of CTT - for reference you can find these within the handbook (the last handbook published was the 2020 Handbook) and also on the CTT website.

In addition, in order that I can endeavour to manage the number of attendees at the AGM, can I ask that you email me with the names of the representatives from your club who will be attending the AGM. Please send these to my email address of tms1704@hotmail.com preferably by no later than 30th September 2021.

This is the opportunity for you (on behalf of your clubs) to discuss and vote on matters that arise at the AGM and to vote on the representatives of the North East District Committee who represent you, your clubs and the North East. Please take an interest and come along - we have 58 clubs in our District.

The AGM Agenda and the 2021 Annual Report will be distributed c.2 weeks prior to the AGM so I will write to you all again around late September with the relevant AGM documents.
